About SafeInternetEmail

MACRO View:

E-mail is a critical communication vehicle for today's organization. E-mail benefits were tremendous at its outset allowing decision making to travel at the speed of e-mail. This was primarily due to e-mails convenience and unobtrusiveness. Today's situation is different as it has become an employee productivity issue, a potential business risk, and a security concern.

"The report by the Department of Trade and Industry found that workers take an average of 49 minutes a day to sort out their inboxes." - According to the BBC News, May 2002.

"Thirty-five percent of the e-mail sent to the 115 million active e-mail users by the end of 2002 will be unsolicited, or "spam" mail." - According to Jupiter Research.

These statistics only touch the surface of the problem. The e-mail reality is compounded by viruses, bandwidth consumption, and legal responsibility. This makes it difficult for technical professionals and management to control and effectively use this necessary communication medium. IDC technical analysts estimate usage will grow to an average of 35 billion e-mails per day worldwide by 2005.

MICRO View:

E-mail can be a very serious threat to a company's security and productivity. We are all quite aware of viruses but below are some examples of possible email problems that can drain an organization. These are true accounts we have learned from business associates or from market research conducted by an independent contractor.

  • One company's top sales person spends 15 minutes a day deleting spam from her inbox versus prospecting or talking with existing customers.
  • An employee wanted to work from home on the "This is so top secret it's not supposed to leave the company project". He innocently decided to zip up the latest documents for this project and e-mailed it to his personal account.
  • Technical employee X answers a business related question to customer service employee Z in a joking fashion. Unfortunately, employee Z asked the question for his top account and forwarded it on as the answer without reading it in its entirety. This offended the customer.

Most of us have probably done or heard of similar situations. Businesses that overlook these items can incur high costs due to productivity losses or embarrassment.

No-Nonsense E-mail Economics:

Example One:

Here is an example of productivity losses incurred as a result of time consumed from the daily deletion of spam from the inbox. It utilizes the same $15.46 hourly rate and does not take into consideration revenue potentially lost by not performing call activities.

This example uses 46 business weeks per year. This accounts for 6 weeks of paid time off. (52 - 6 = 46)

(15 minutes per day * 5 days per week) * 46 business weeks = 3,450 minutes
3,450 minutes / 60 minutes per hour = 57.50 hours
57.50 * 15.46 = $888.95 dollars per year spent for inbox clean-up.

The following figures below can be used for a quick revenue loss projection:

We believe an average sales person would have made about two calls in that lost 15 minutes. That equates to about 460 lost calls annually. Now let us assume there is only a 1% success rate for those calls. In the example above, that equates to 4.6 customers lost per year. Multiply that by your average sale price to roughly gauge your potential revenue loss.

How does this relate to your business if all of your sales people performed this routine daily?

  4. Quarantine it if it fails clearance criteria.
  5. Send notification of potential threat to sender/recipient.
  6. Grant permission to pass by a higher authority and provide future authorization to pass if intention is non-threatening.
  7. Remove or store for possible legal proceedings when intention is found to be a threat.

Fast and Consistent Process:

SafeInternetEmail has been field tested for over two years. This has allowed us to monitor real world usage and adjust our configuration for optimal performance. For instance, multiple VFind processing queues are utilized with limits placed on the maximum message size for each queue. Simply stated, smaller messages get processed faster. However, the customization and run-time tuning options of SIE are extensive. This allows you to make adjustments to take advantage of multiple processors or actual size/volume distribution of your e-mail for maximum throughput.
